There are computers containing company data, cabinets full of archives, waste that must be sorted according to regulations, and a landlord who wants the premises returned to the condition described in the inventory.<\/p>\n\t\t\t\t\t<p class=\"e-paragraph-base e-default-p\" data-interaction-id=\"6911ea1d\" data-e-type=\"widget\" data-id=\"6911ea1d\">In this checklist, we\u2019ve listed everything in the order in which you should proceed. This will help you avoid last-minute stress and unexpected costs at the time of completion. Would you rather outsource everything? Start with the completion date and work backward<\/h2>\n\t\t\t\t\t<p class=\"e-paragraph-base e-default-p\" data-interaction-id=\"6f66141e\" data-e-type=\"widget\" data-id=\"6f66141e\">First, review the lease agreement. It specifies when you must return the property and in what condition. Usually, this means: vacant, swept clean, and in the condition described in the move-in inventory at the start of the lease, taking into account normal wear and tear.<\/p>\n\t\t\t\t\t<p class=\"e-paragraph-base e-default-p\" data-interaction-id=\"4a3739b7\" data-e-type=\"widget\" data-id=\"4a3739b7\">Work backward from there:<\/p>\n\t\t\t\t\t<span class=\"e-3fedf280-c064 e-paragraph-base e-default-span\" data-interaction-id=\"5216a8bf\" data-e-type=\"widget\" data-id=\"5216a8bf\"><ul><li><strong>6 to 8 weeks in advance:<\/strong> Take inventory, decide what to move, and request quotes.<\/li><li><strong>3 to 4 weeks in advance:<\/strong> Arrange for the sale or donation of furniture, and schedule IT disposal and data destruction.<\/li><li><strong>1 to 2 weeks in advance:<\/strong> Request a parking restriction; coordinate elevator and access arrangements with the building manager.<\/li><li><strong>A few days before the property inspection:<\/strong> the move itself, with some leeway for unforeseen circumstances.<\/li><\/ul><\/span>\n\t\t\t\t\t<p class=\"e-paragraph-base e-default-p\" data-interaction-id=\"42a7a557\" data-e-type=\"widget\" data-id=\"42a7a557\">So don\u2019t schedule the eviction for the same day as the property inspection. Take inventory: keep, sell, donate, or throw away<\/h2>\n\t\t\t\t\t<p class=\"e-paragraph-base e-default-p\" data-interaction-id=\"b5d776b\" data-e-type=\"widget\" data-id=\"b5d776b\">Walk through the office room by room. Don\u2019t forget the areas that are often overlooked: the archive room, the basement storage area, the kitchenette, the server closet, and the parking lot. Divide everything into four groups:<\/p>\n\t\t\t\t\t<span class=\"e-6195f40b-8a58 e-paragraph-base e-default-span\" data-interaction-id=\"2dd5c901\" data-e-type=\"widget\" data-id=\"2dd5c901\"><ul><li><strong>What to bring:<\/strong> Everything that's moving to the new office.<\/li><li><strong>Sales:<\/strong> Sturdy desks, office chairs, and cabinets often still have value. Consider secondhand marketplaces or office furniture buyers.<\/li><li><strong>Giving:<\/strong> Schools, clubs, and social organizations are often happy to receive usable furniture. Be sure to ask in advance what they need and whether they\u2019ll pick it up themselves.<\/li><li><strong>Drains:<\/strong> anything that is broken, worn out, or unsellable.<\/li><\/ul><\/span>\n\t\t\t\t\t<p class=\"e-paragraph-base e-default-p\" data-interaction-id=\"5b7baed7\" data-e-type=\"widget\" data-id=\"5b7baed7\"><strong>Tip:<\/strong> Give each group a sticker in a different color. That way, everyone will know right away where everything goes on the day of the event. Also, take photos of each room. This will allow a cleanup company to give you a quote without having to visit first. Under the GDPR, your company remains responsible for that data, even when the device leaves the premises. Don\u2019t forget about multifunction printers and copiers either: many of these devices have a built-in hard drive.<\/p>\n\t\t\t\t\t<p class=\"e-paragraph-base e-default-p\" data-interaction-id=\"413b6b5b\" data-e-type=\"widget\" data-id=\"413b6b5b\">Here's how to do it:<\/p>\n\t\t\t\t\t<span class=\"e-183bf9e3-6533 e-paragraph-base e-default-span\" data-interaction-id=\"6ebf0d43\" data-e-type=\"widget\" data-id=\"6ebf0d43\"><ul><li><strong>Have data storage devices securely erased or destroyed<\/strong> Have it destroyed by a certified company and request a certificate of destruction. Keep it with your GDPR documentation.<\/li><li><strong>Give working devices a second life<\/strong> through a refurbisher, after the data has been erased.<\/li><li><strong>Standard office electronics<\/strong> Items such as laptops, monitors, coffee makers, and refrigerators can be picked up for free by your company through <a href=\"https:\/\/pickup.recupel.be\/?lang=nl\" target=\"_blank\" rel=\"noopener\">Recupel Pickup<\/a>. Professional equipment, such as a large copier, is not included in this category and must be sent to a certified processor.<\/li><\/ul><\/span>\n\t\t\t\t\t<p class=\"e-paragraph-base e-default-p\" data-interaction-id=\"5937d790\" data-e-type=\"widget\" data-id=\"5937d790\">During an evacuation, we always set data storage devices aside. Archives: Keep what needs to be kept; securely destroy what can be destroyed<\/h2>\n\t\t\t\t\t<p class=\"e-paragraph-base e-default-p\" data-interaction-id=\"1f6bfe8f\" data-e-type=\"widget\" data-id=\"1f6bfe8f\">Don't just throw away cabinets full of files with the old paper. First, check what you still need to keep:<\/p>\n\t\t\t\t\t<span class=\"e-77f15ee0-38c4 e-paragraph-base e-default-span\" data-interaction-id=\"3e3ae36f\" data-e-type=\"widget\" data-id=\"3e3ae36f\"><ul><li><strong>Tax documents<\/strong> Since the legislative change at the end of 2022, you must retain documents such as invoices, contracts, and supporting documents for ten years.<\/li><li><strong>Personnel Files and Social Security Documents<\/strong> have their own retention periods. Check with your social secretariat for details.<\/li><li><strong>Are you unsure?<\/strong> Consult with your accountant before you throw anything away.<\/li><\/ul><\/span>\n\t\t\t\t\t<p class=\"e-paragraph-base e-default-p\" data-interaction-id=\"17866075\" data-e-type=\"widget\" data-id=\"17866075\">Items that need to be retained are either moved along with you or sent to an off-site archive. Items that can be disposed of should be destroyed, with a certificate provided as proof. This also applies when you\u2019re clearing out an office. Paper and cardboard, PMD, glass, wood, metal, electronics, and residual waste must each be sorted into separate streams. Logistics: No Parking, Elevator, and Access<\/h2>\n\t\t\t\t\t<p class=\"e-paragraph-base e-default-p\" data-interaction-id=\"15024af7\" data-e-type=\"widget\" data-id=\"15024af7\">Clearing out an office in Antwerp often means narrow streets, limited parking, and a building with other tenants. Normally, you should do this at least 5 business days in advance. If you need to do it sooner, for example, in the case of a <a href=\"https:\/\/junkbrothers.be\/en\/emergency-clearance\/\">emergency clearance<\/a>? In that case, you can use the expedited procedure: up to 2 business days in advance, provided you submit the application before 9 a.m. However, this option costs more (at least \u20ac132 instead of \u20ac65), and it\u2019s not available if you\u2019re also temporarily occupying the sidewalk or bike path at the same time. Arrange with the cleanup company who will submit the application.<\/li><li><strong>Elevator and loading area:<\/strong> Reserve the freight elevator or loading dock with the property manager or building manager, and ask whether the elevator and hallways need to be protected.<\/li><li><strong>Admission and Hours:<\/strong> Make sure you have keys or access badges, and check if there are any rules regarding noise or working hours, especially if there are other companies in the building.<\/li><li><strong>Disassembly:<\/strong> Large desks, wall-mounted cabinets, and conference tables often won\u2019t fit through the door in one piece. Be sure to allow time to take them apart. Handover: swept clean and in accordance with the inventory<\/h2>\n\t\t\t\t\t<p class=\"e-paragraph-base e-default-p\" data-interaction-id=\"62d5dbc7\" data-e-type=\"widget\" data-id=\"62d5dbc7\">After the eviction, the exit inspection will take place.
